AI Agent vs Chatbot: Which Does Your Business Need?
The difference between an AI agent and a chatbot, when each one is enough, what each costs, and how to choose for your business.

What is the difference between an AI agent and a chatbot?
A chatbot answers questions in a conversation. An AI agent takes actions: it reads the request, uses tools such as your email, CRM or ticket system, works through several steps and finishes the task, handing off to a person when it should. A chatbot talks, while an agent does the work behind the conversation.

When is a chatbot enough?
A chatbot is enough when the job is answering common questions from content you already have, such as hours, policies, shipping terms and product details, and a person handles everything else. If the visitor only needs information and nothing in another system has to change, a subscription chatbot is the cheaper, simpler choice.
When do you need an AI agent?
You need an agent when the work involves doing something, not only saying something. It fits repetitive, rule-shaped work with a clear input and a checkable output: triaging tickets, extracting data from documents, routing and following up on requests, or keeping two systems in agreement. If an answer must become an action in your tools, that is agent work.
It is also worth asking whether automation is the right answer at all. Some of what gets pitched as AI is a scheduled job and a well-designed form, and those are cheaper to build and cheaper to run. We say so when that is the case.

Chatbot prices are as ChatBot.com listed them in September 2026 and may have changed since. The two are not priced the same way, so a monthly chatbot fee and a one-time build are not directly comparable. A per-seat plan charges for every person who uses it. A custom agent is built around your data and process, with monitoring and alerting included, and the code, repositories and accounts transfer to you at handover.
How do you choose between an AI agent and a chatbot?
Ask three questions. Does the task change something in another system? Does it take more than one step? Does the answer depend on your live data rather than fixed content? If any answer is yes, you need an agent. If all three are no, start with a chatbot and upgrade when it hits a wall.
The two also combine well. A chatbot can stay as the front door for simple questions while an agent handles the requests that need action behind it.
What does an AI agent project look like?
It is quoted as a fixed price after a scoping conversation, and takes 2 to 6 weeks depending on how many systems the agent has to touch. You see a working version in week two and review progress weekly. At launch the code, repositories and accounts transfer to you, and support afterwards is optional.
